eStudent 360 (“we”, “us”, “our”) is a free, cross-disciplinary student mentorship platform operated by FacioTech Foundation. We are committed to protecting your privacy and handling your personal information responsibly. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform.

eStudent 360 operates in Ghana and Canada and complies with the Ghana Data Protection Act 2012, the Canadian Personal Information Protection and Electronic Documents Act (PIPEDA), Quebec Law 25 (Bill 64), and Canada’s Anti-Spam Legislation (CASL).

2. Information We Collect

2.1 Information You Provide

  • Account information: Name, email address, phone number (optional), country, date of birth, academic stage
  • Profile information: Education history, career interests, expertise areas, availability, profile photo
  • Communications: Messages sent through the platform, session notes, feedback
  • Guardian information: For users under 18, guardian name, email, phone, and consent records

2.2 Information Collected Automatically

  • Device information: Browser type, operating system, device type
  • Usage data: Pages visited, features used, session duration (anonymized)
  • Cookies: Essential session cookies and optional analytics cookies (see our Cookie Policy)

3. How We Use Your Information

We use your information solely for:

  • Mentorship matching: Pairing students with appropriate mentors based on interests, goals, language, and availability
  • Platform operations: Account management, session scheduling, messaging, career pathways
  • Safety: Monitoring for safety concerns, verifying mentor credentials, protecting minors
  • Communications: Service notifications, session reminders, platform updates (with your consent for non-essential communications)
  • Improvement: Anonymized analytics to improve platform features and user experience

We never sell, rent, or trade your personal information. eStudent 360 is a free platform with no commercial data monetization.

4. Data Storage and Sovereignty

Your data is stored in the country where you register. Ghana user data stays in Ghana; Canada user data stays in Canada. Personal information never crosses international borders without anonymization. All data is encrypted at rest (AES-256) and in transit (TLS 1.3).

5. Data Sharing

We may share your information only with:

  • Your mentor or mentee: Profile information necessary for the mentorship relationship
  • Partner institutions: Only with your explicit consent, and limited to non-sensitive information
  • Legal authorities: When required by law or to protect the safety of users, especially minors

6. Consent and Minors

We obtain explicit consent before collecting and processing your personal information. For users under 18 (Ghana) or under 13 (Canada, or under 14 in Quebec), we require verified guardian consent before account activation.

Guardians can grant, view, and withdraw consent at any time. Guardian consent is renewed annually. You can manage your consent preferences in your account settings.

7. Your Rights

You have the right to:

  • Access: Request a copy of all personal data we hold about you
  • Correction: Request correction of inaccurate information
  • Deletion: Request deletion of your personal data (subject to legal retention requirements)
  • Export: Receive your data in a portable format
  • Withdraw consent: Withdraw any optional consent at any time
  • Complain: File a complaint with the Ghana Data Protection Commission or the Office of the Privacy Commissioner of Canada

8. Data Retention

  • Active accounts: Data retained while your account is active
  • Inactive accounts: Data deleted after 2 years of inactivity (with prior notice)
  • Deleted accounts: Personal data purged within 30 days; anonymized analytics retained
  • Legal obligations: Some data may be retained longer if required by law

9. Security

We implement industry-standard security measures including encryption at rest and in transit, role-based access controls, regular security audits, and incident response procedures. Despite our best efforts, no method of transmission over the Internet is 100% secure.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or an in-app notification. Continued use of the platform after changes constitutes acceptance of the updated policy.
